IT Support: Outsource or Hire In-House? HK SME Guide

One broken computer can stop a whole team. That is usually when the question comes up: should you hire an IT person, or outsource IT support?

Both models work, but not for the same company. Here is a straight way to decide.

Ask yourself five questions

  • How many computers and systems do you actually have? Under ten devices, outsourcing is usually enough.
  • Do you need someone who is productive from day one? A hire needs recruiting and training; an outsourced partner already knows the work.
  • How complex is your setup? If it is email, Office and file sharing, outsourcing is inexpensive.
  • Does your industry have compliance duties? Insurance and finance, for example, need proper records and professional handling.
  • When your IT person takes leave or resigns, who covers?

The real cost of hiring is more than salary

Add MPF, annual leave, sick leave, hardware, software licences and training. Then add the most expensive item of all: nobody covers when that person is away.

One person also has limits. Cybersecurity, cloud, backup and automation cannot all sit on a single pair of shoulders.

Four things to check in an outsourced partner

  • Response time: get hours in writing, not "as soon as possible".
  • Scope: does it cover monitoring, backup, updates, hardware purchasing and on-site support?
  • Handover: are there documents and records, so you could take it back in-house later?
  • Data ownership: the data is yours and can move with you.

The combination most SMEs actually use

Many Hong Kong SMEs run an outsourced partner plus one internal person for day-to-day tasks: routine items handled in-house, specialist work with the partner.

It usually costs less than funding a full-time role for a handful of incidents a year.
